Photos Are the Institutional Memory of the Job
A pool leak detection report is a written record. But the written record is only as trustworthy as the photography that supports it. When a customer reads "active dye movement was observed at the main drain area," that statement is a professional conclusion. The photo of that dye movement is the evidence that makes the conclusion credible -- and the only thing that can defend it if the customer questions it weeks later.
Technicians who write strong reports without adequate photography are creating a problem they may not encounter immediately. The problem surfaces when a customer disputes a finding, when an insurance company asks for documentation, when a repair contractor wants to see where the leak was located, or when a second technician is sent to follow up on a job and has no visual record of what was observed.
Photos are not for the customer alone. They are for the company, the job record, and any professional who may need to act on the report after the technician has moved on to the next job.

Document Before Touching Anything
- Overall pool at arrival -- water level clearly visible
- Equipment pad -- all valves in original position, all equipment visible
- Any pre-existing damage to fittings, tile, shell, or equipment
- Any pre-existing wet areas, staining, or moisture near the pool before testing
Document What Was Observed and Where
- Context shot -- shows the location of the finding within the pool or equipment area
- Close-up shot -- shows the specific condition clearly (dye movement, crack, wet fitting, moisture pattern)
- For dye testing: photograph the dye syringe positioned near the area and the dye movement toward the opening
- For underwater findings: clear underwater photo of the condition with orientation context
- For pressure test results: document the gauge reading, the test setup, and any visual evidence of loss
Document What Was Done After the Finding
- If a temporary underwater epoxy or hydraulic cement patch was applied -- photograph the patch location in context and close-up
- Photograph the patch material in place before leaving
- If marking was applied to the deck above an underground leak location -- photograph the marked location
Document What Could Not Be Evaluated
- If a plumbing line could not be accessed or tested -- photograph the access restriction
- If a pool section was not visible or testable due to conditions -- photograph what prevented access
- These photos support the report's limitations language -- "the following areas were not evaluated due to..."
Document the System State After Testing
- Equipment pad at conclusion -- valves returned to original positions
- Pump running and system operating normally before departure
- Any cleanup of test materials -- dye, plugs, equipment -- removed from the property
Not photographing the leak before patching -- a patch photo without a finding photo cannot be defended in the report. The finding must be documented before anything is done to it. And not photographing the patch itself -- a report that states a temporary repair was applied with no photo of the repair location is unverifiable by anyone who reads the report after the technician has left.
How Photography Connects to Every Phase of H.U.N.T.E.R.
Documentation is not a phase of H.U.N.T.E.R. -- it runs through every phase as the continuous record of what was observed, tested, found, and restored.
Photos sent by the customer before the visit -- pool and equipment pad -- are the first documentary evidence in the job record. They establish the starting point before the technician arrives.
Arrival photos document the system as it exists before testing modifies anything. Valve positions, equipment state, pre-existing conditions -- all captured before the Understand phase moves into active evaluation.
As the investigation narrows, photos document the intermediate state -- pressure gauge readings during line isolation, areas that showed no evidence and were cleared, areas being prioritized for closer testing.
Testing photos document the process -- dye syringe at location, acoustic device positioned at a mark, gauge reading at the end of a timed pressure test. These are the evidentiary photos that support the findings.
The finding photo IS the Expose documentation. Context shot plus close-up. Before patch plus patch in place. The evidence that the report is built from.
Restoration photos document the verified system state before departure -- valves returned, pump running, equipment operating normally. Post-repair verification photos close the job record cleanly.
The two photos that get skipped most often are the ones that matter most: the leak before the patch and the patch itself. Technicians find the leak, they put a temporary patch on it, and they move on. They did not photograph the dye movement at the crack before they covered it. They did not photograph the epoxy patch they applied. Now the report says a leak was found and repaired -- and there is no visual evidence of either.
When the repair contractor goes out to do the permanent fix and calls because they cannot find where the leak was -- that photo is what the dispatcher needs to answer the question. When the customer questions whether there really was a leak -- that photo is what builds or destroys confidence in the report. Without it, everything is just words.
I also teach technicians that photos are institutional memory. Your memory of the job will fade within days. The customer's memory will shift. The photos do not change. Months later, if something comes up, the job record with complete photography is the only thing that accurately represents what happened on that property on that day. It is worth the extra thirty seconds every time.
Frequently Asked Questions
How many photos should a pool leak detection report include?
There is no fixed number. Coverage is the standard. Every finding should have a context photo and a close-up photo. Every pre-existing condition that was noted should be photographed. The arrival state and restoration state should be documented. For a typical residential job with one confirmed finding, a well-documented job record runs 20 to 40 photos. A complex job with multiple findings, untested areas, and pre-existing conditions may have significantly more.
Should every photo be included in the customer-facing report?
Not necessarily. The customer report should include the photos that support the findings and recommendations -- the leak location, the evidence, the patch, and relevant pre-existing conditions. Valve position photos, intermediate testing documentation, and other job record photos may stay in the company's internal record without appearing in the customer document. The purpose of the report photos is clarity for the customer. The purpose of the full photo record is protection for the company.
What if the finding cannot be photographed clearly -- such as an acoustic signal location?
Mark the location on the deck -- a paint mark, a chalk mark, or a temporary adhesive marker -- and photograph the mark in context with identifying landmarks. This establishes the location visually even when the underground pipe itself cannot be seen. The photo of the mark, combined with the report language describing how the location was determined, creates an adequate record.
Do underwater photos have different standards than above-water photos?
The standards are the same -- context plus close-up -- but the execution is harder. Underwater photography requires adequate water clarity, proper lighting, and enough stability to produce a usable image. A blurred or unclear underwater photo that cannot be interpreted by someone who was not present is not adequate documentation. If the water clarity or conditions make a usable photo impossible, that limitation should be noted in the report.
