Start with the main finding. Do not make the homeowner work to extract the answer from a long explanation. Then show the evidence. Then explain limitations. Then give the next step.
Evidence exists -- dye movement, pressure drop, visible water loss.
Clues present but no direct evidence. Needs monitoring or retesting.
Area was tested. No active leak detected under the conditions present.
Could not be safely reached, opened, isolated, or tested.
"We confirmed an active leak at the skimmer throat. Here is the video showing dye being pulled into the seam -- that is a visible test result showing active water movement at that point. The recommended next step is to repair that seam. After the repair, we would suggest monitoring the water level to confirm it stopped."
"The return line did not hold pressure during testing. That tells us this specific line needs further attention. I do not recommend cutting the deck based on a pressure test alone. The next step is to locate the pipe path and narrow the likely area where the break is before any demolition is planned."
"Based on the areas we inspected and tested today, we did not confirm an active leak. That does not mean a leak cannot exist or that hidden areas are guaranteed to be problem-free. It means that under the conditions present today, the areas we tested did not show active water loss. If the water loss continues, the next step would be further testing."
"I could not safely access this component today, so I am not going to guess about what might be happening there. I will list it as inaccessible in the written report. If the water loss continues after any other repairs are made, this area may need evaluation under different access conditions."
When a homeowner is upset, anxious about cost, frustrated, or questioning the finding, the technician should not argue, over-explain, or become defensive. Stay on evidence, not emotion.
"I understand why that's frustrating. What I can tell you for certain is what the test showed -- this line lost pressure during testing. I'm not going to guess about the exact repair until we narrow the location. The next safe step is to locate the line and gather better evidence before any cutting starts."
The verbal explanation should be backed up by what was documented during the inspection. Show the homeowner the video of dye movement. Show the photo of the cracked fitting. Show the gauge reading. Show the pipe locate marks on the deck.
The explanation should match the written report the homeowner receives before the technician leaves. If a finding is in the report, it should be mentioned verbally. If a limitation is in the report, it should be acknowledged verbally.
Start the explanation by referencing what the homeowner told you. "You mentioned the pool loses more water with the pump running -- here is what we found on the pressure-side circuits."
Briefly explain what you looked at -- the system, the circuits, the components. This shows the inspection was systematic, not random.
Explain how the inspection narrowed the likely areas -- visual findings, hydrophone, water loss pattern. This gives the homeowner context for why those areas were tested.
Name the tests performed. "We dye tested the fittings and pressure tested the plumbing lines." Be specific about what was tested.
Show the evidence -- video, photos, gauge reading. Use the four-category labels so the homeowner knows what is confirmed vs. suspected vs. not tested.
State the next step clearly. Confirm whether the repair addresses the confirmed source. Explain what verification looks like. Leave the written report in their hands before leaving.
Should the homeowner see the photos and videos during the explanation?
Yes. Visual evidence helps the homeowner understand the finding in a way that verbal description alone cannot. A 10-second video of dye being pulled into a seam is worth more than any explanation.
What should a technician say when no leak is found?
Explain that no active leak was confirmed in the tested areas under the conditions present during the inspection. Do not say "there are no leaks." Explain what was tested, what the result was, and what the next step is if water loss continues.
How should a technician handle a nervous or upset homeowner?
Stay calm. Use plain language. Show evidence. Use the verbal pivot -- acknowledge the frustration and redirect to what the test showed. Avoid arguing or becoming defensive. Stay on evidence, not emotion.
Should the explanation happen on-site?
Yes. The explanation and the written report should both be completed on-site with the homeowner present before the technician leaves. This is standard procedure at Leak and Subsurface Locators.
